The type of personal information we collect

We currently collect and process the following information:

Photographs and video of property and persons obtained in the course of our business (for example, internal and external pictures and video of houses, apartments and flats including the occupants of such property)

Employee data, including employment records (which may include necessary medical information for employment purposes).

This may include anonymous analytics provided by services such as Google Analytics or Squarespace. These cookies do not identify individual users. How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

Managing our relationship with employees, clients, contractors and suppliers (including potential, future and past clients, contractors and suppliers).

Marketing and advertising.

We also receive personal information indirectly, from publicly available sources (e.g. websites, social media, advertising, etc.).

We use the information that you have given us in order to optimise the services we provide to our clients, provide efficient relationships with our contractors and suppliers and establish new business relationships.

We may share this information with our clients, suppliers and contractors.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored on:

Apple iCloud services. iCloud’s data centres are located in the EU, UK, and US — and Apple uses Standard Contractual Clauses (SCCs) for any transfers outside the UK/EU, satisfying Chapter V of GDPR

We use Monday.com, a secure cloud-based project management system, to manage client and supplier contact details. Monday.com complies with UK GDPR and uses encrypted servers with appropriate contractual safeguards.

Where data is stored or processed outside the UK, we ensure that appropriate safeguards are in place in accordance with UK GDPR requirements (for example, Standard Contractual Clauses).

On computers at our place of business. All our data storage is encrypted.

On mobile devices (laptops, phones etc.).

We may occasionally print photographs onto paper.

We keep Personal identifiers, contacts and characteristics for seven years after our last contact with you.

We keep identifiable photographs and video for seven years after our last contact with you.

We keep employee information for seven years following termination of employment.

We will then dispose your digital information by electronically deleting the data.

Paper-based information is shredded.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
